Payment Card Processing Technologies (PCI)

The University of Idaho is committed to providing a secure credit and debit card processing environment for our customers to protect against loss and fraud.

To protect customers and limit university liability, policies, standards and technology recommendations are being reviewed and developed in order to recommend the best ways for university merchants to comply with Payment Card Industry (PCI) requirements for securely processing, transmitting and disposing of cardholder data.

It is the responsibility of every employee to safely handle all credit card information.

Payment Card Processing Technologies

  • Personnel handling credit cards may require a criminal background check.
  • Card terminals may require being updated/replaced to support “chip and pin” technology if they don’t already.
  • Annual completion of a Self Assessment Questionnaire (SAQ) is required.

Depending on the complexity of your environment, different Self Assessment Questionnaires are required annually. Most current UI Merchants with standard dial-out (phone line) terminals will be required to complete SAQ-B.

For dial-out terminal merchants:

  • Review the draft PCI policy published by the Controller’s office.
  • Sign every employee up for PCI compliance training and ensure they complete it.
  • Inventory your processing devices.
  • Review SAQ-B.
  • Make appropriate changes to processes and documentation based upon UI Policy and PCI SAQ.
  • Send any questions about PCI Compliance to pci-compliance@uidaho.edu.

For network connected payment processing:

  • Review the draft PCI policy published by the Controller’s office.
  • Sign every employee up for PCI compliance training and ensure they complete it.
  • Inventory your processing devices.
  • Review SAQ list for the SAQ appropriate for your usage (likely SAQ-C).
  • Request a PCI review with ITS and the Controller’s office pci-compliance@uidaho.edu.
  • ITS and the Controller’s office will assist with creating a plan to address your compliance needs.

In the event of a suspected incident, event or tampering potentially involving the exposure of cardholder data, immediate notification of the incident must be sent to the following groups:
