Submission Instructions

Applications must be submitted through the U of I’s Electronic Internal Proposal Routing System (EIPRS). EIPRS allows your application file(s) to be uploaded as a PDF, and enables electronic routing and signatures.

Please note that this is an internal grant program. Proposals do not need to be reviewed by your Sponsored Program Administrator in the Office of Sponsored Programs.

Instructions for uploading your application to EIPRS 

  1. To upload your single PDF application document, log into EIPRS. Your username and password are the same username and password that you use to access your U of I e-mail.
  2. Click on “PROPOSAL/ESF.”
  3. Click on “Create a New Proposal.” Enter your Vandal Number. This should populate your contact information. BEFORE exiting EIPRS, make sure your e-mail address has been populated and that you click on “Save” at the bottom of the first page. This will allow you to access your proposal to finalize any remaining items prior to submission.
  4. If you have a Co-PI, please add them in the “Co-PIs” section. Student applicants must include a faculty member as a Co-PI.
  5. In the “Editors” section, add Larissa LaBolle, ORED Fiscal Operations Manager and also, your departmental Grant Administrator who can assist you with your budget. If you don’t know who the departmental Grant Administrator, please contact your dean’s office.
  6. The “Proposal/Project Title:” must start with "Stillinger Herbarium Expedition.”
  7. The Sponsor Name for your application is “Other” and “ORED.”
  8. Please enter the Project Begin Date and Project End Date blocks in the Budget Data section.
  9. No other fields need to be completed for this tab of the form.
  10. Scroll to the bottom and click on “Save.”
  11. Click on the Attachments tab and upload your single PDF application document in the “Full Proposal” section.
  12. No other tabs need to be completed.
  13. Please go to the Comment tab and add a comment when you are ready for the first review.
  14. Larissa LaBolle will review your proposal and add comments to EIPRS, if there are any questions. The comment will auto-generate an e-mail to be sent to the PI, Co-PIs (if any), and to any editors. Please do not reply to the e-mail but respond via the comments section in EIPRS.
  15. Larissa LaBolle will let you know when you may “sign and submit” the application for routing of electronic signatures.

Tips and reminders

  • A complete application includes a cover page, detailed budget, summary (including the relevance of the proposed project to the current mission statement of the Stillinger Herbarium), a project narrative (not to exceed two pages), a project timeline (one page) and biographical data.
  • Your title should begin with “Stillinger Herbarium Expedition:”. This will assist with tracking the proposal through EIPRS.
  • Signatures of PI(s), departmental administrator(s), and College dean(s) will be processed electronically via EIPRS. All signatures must be obtained through EIPRS by 5 p.m. on the due date to be considered complete and on time. Please note that your college may have an earlier internal deadline for proposal submission and routing, so that they can ensure adequate time for departmental and college level review and approval.
  • Please go to the Comment tab and add a comment when you are ready for the first review.  
  • To ensure your proposal has all of the necessary approvals by the due date, please upload all documents and enter a comment that you are ready for the first review by 5 p.m. on the Monday prior to the due date.
